Go to the Workspace Settings then section “Cards types” or create a card in your workspace.
Add the categories of fields you need, customize their titles and then place them in one of the 3 areas of the card.
🆕✨New in 2025
To best mark out the way and improve readability, options have been added on two fields.
Open option “Limit the search and card creation to a single type of card:”
With this option, you tag the links that can be made through this field. The list of values is reduced to those that are selectable.
Use card types to represent different data in the same workspace: project, task, meeting, etc. See Creating Card Types
Thus, depending on what the card represents, you decide which fields to use, for example: a ‘meeting date’ field must be present for cards representing meetings. But on the cards that represent a project or a task, they will have their own example field: “Projected date end of project” or “Expected date end of task”
If your needs in terms of data structures evolve, you just need to add and remove fields and types of cards. Kantree, thanks to new options allows you to lock the structure of your workspace to avoid any unwanted modifications. By the time you modify your data structure, you can unlock your workspace and then reactivate it.
Offer workspace members a filtered view, grouped with the Appearance mode of your choice.
Thanks to the views, you share the essential views for work and progress monitoring.
As everyone must be able to visualize the data according to their preferences and work habits, each member can create a private view (visible only by them unless invited by members) based on the shared view but with their own appearance wishes for example: a shared view is proposed in the form of Kanban but the person prefers to visualize the data in the form of a spreadsheet.
The filter allows you to select the data you want to view. You can thus create a view containing only the cards with a warning, the cards of type Réunion, the cards having an upcoming date etc.
The Kanban, Table, List, Timeline, Gantt view allows you to group your data based on the fields with a list of values: Labels, Members, and Card Relationship. The Kanban view allows a double grouping dimension.
If you have many views or if you have different teams in the same workspace, you can organize them according to categories so that the teams can easily navigate in the different views.
🆕✨New in 2025
To go further in the clarification of the Kantree workspace allows you to show only the necessary views to users. Thus, each person sees the essential. This can also be useful if you wish to give access to an external partner, a supplier, a client who wishes to see the progress. You can thus manage communications via the comments on the card rather than using emails whose information is not accessible.
🆕✨New in 2025
For automatic actions that have a manual trigger. Add a button in the view toolbar to trigger rules with the trigger “fires when you manually select this rule”. For this, go to Appearance then “Add actions”
Remember to save your view to take into account this new display by clicking on red asterisk
🆕✨New in 2025
Even as an Administrator, it may happen by mistake to modify essential data structures. In order to avoid this, regarding the types of cards or views (shared with workspace members), you can activate the option “Lock the structure” in the Workspace Settings.
🆕✨New in 2025
When you have a lot of administrators, it may be relevant to lock the editing of view settings to avoid improper handling. By locking the view, you disable the toolbar that allows editing the view. The automation trigger buttons remain visible.
When the view is locked, the toolbar is no longer available.
The Dashboard View allows you to generate visual indicators or lists of cards that you can centralize. Widgets with pre-saved queries are available but if you want to create a completely custom query. For this, use the “custom query” widget and use the KQL language. See Reporting and KQL Language
A Commissioning Manager in the industry wants to automate its processes in a collaborative, scalable platform. In order to ensure effective change management, he wants a platform with personalized data structures for the business. This manager wants to have this flexibility while marking the path so that the processes are clear and easy to follow.
The team is composed of 12 people including 2 managers and 10 technicians and 1 team leader
The Commissioning team receives from the Assembly team the MAD (Provision), i.e. the information that a piece of equipment has been assembled and is ready to be tested.
The commissioning team must test and validate the equipment before it is sold to the client, who in turn validates it. This step is the end of the process.
At the Reception and Verification step, a compliance issue may require the intervention of the Assembly team for correction.
Process steps:
Reception =>Verification=>In progress=> Return Assembly=> Sale=>Completed commissioning
These steps are represented by a Label field “Status”Tasks must be completed at each of these stages. From the Reception to Verification for the Manager stage. Between Verification and In Progress by the Technicians then from Sale to Completed put into service again by the Manager.
Tasks have their own card structure and steps:
Not tested => In progress => Tested or Back
Cards structures
-1 card type Commissioning used from the step Reception to Test Completed.
-1 card type Task
-1 card type Team Meeting
-Label Field: to manage process status
-Card Relation Field: to link the cards and then manage synchronization automations between the cards- See Card Relationshio field
-1 Kanban view to visualize the progress in the process of grouped commissioning by their Status
-1 Kanban view to visualize the progress in the process of commissioning tasks grouped by Status and Technician in charge.
-1 table view to have a focus on the cards at status “Request for return”
-1 private view by collaborator to view the list of actions to be taken per week.
The Production team creates a card, here a notice of availability of equipment intended for the Commissioning team
The form link is available from the Organization page and can be saved in browser favorites.
The process of returning to the Production team is done by a button on the card (automation)
Automation configuration triggered by the button on the card :
The last step of the process “Finished put into service” can be treated in the same way to send a confirmation email to the client with the essential information.
-Lock the workspace structure once it is validated
-Lock shared views to members of the space to avoid any modification of the unvalidated structure.
-Create specific roles for people who can view your workspace with limited editing rights. For example, an observer role authorized to comment for the Production team for managing returns from Commissioning to Production and then from Production to Commissioning.
-Create a specific role if you want to give clients access to certain views of your workspace.
-Set the visibility of the views according to the roles. Thus, each person visualizes only the views that are useful to them.
